GUIguide Installation Notes

GUIguide automatically installs on your Windows / IIS server.

Software installed includes:

  • GUIguide application code (encrypted)
  • GUIguide example images (GIF and JPG)
  • GUIguide example templates (.htm and .html)
  • GUIguide administrator desktop tool suite
  • GUIguide application for end users

Installation

GUIguide is shipped on a CD-ROM. To install it on a single machine or Intranet,

Insert the CD-ROM into your CD-ROM drive.
An auto-run installation screen should pop up after the CD is inserted.

Press the ColdFusion Server 5.0 link on the installation screen to install ColdFusion. You will be asked to enter a serial number. Please type in the serial number (CFxxxx-xxxxx-xxxxx-xxxxx) shown on the CD case. After ColdFusion is installed, you may be asked to restart your computer; select the option to restart.

Note: If you don’t have ColdFusion Server 5.0 installed, you must install it before installing GUIguide. If you already have ColdFusion Server 5.0 installed, you can skip this step.

Run the setup program again, and press the GUIguide 4.0 link on the installation screen to install GUIguide. Please type in the serial number (GGxxxxx-xxxx-xxxx) shown on the CD case.

Tip: You will be asked for the path to your web server. This is the directory that you selected as the root directory when you installed your web server per the system requirements, i.e. C:\Inetpub\wwwroot\. This directory contains the folders called ‘admin’ and ‘guidelines’ that were installed with the previous version of GUIguide.



Setting Up GUIguide

Before you can use GUIguide, you need to set up the following items. For more information on these items, refer to the GUIguide Administrator help by pressing the Question Mark icon in the top navigation bar.

Set up a system administrator for GUIguide and select a security option.
The system administrator is a required position. The individual in this position is responsible for ensuring that GUIguide runs correctly and for receiving user feedback.

a       Start GUIguide. To access GUIguide, type http://domain/guidelines/index.cfm into your web browser, replacing domain with your specific domain name.

b       Press the Administrator button located in the top bar. The initial system administrator login uses the word administrator as both the user name and password.

c       Enter the required administrator information, including login (user name), password, name, e-mail address, telephone number, company, and mail server. Notes: You must enter an e-mail address. This e-mail address receives the feedback submitted from users using GUIguide. In addition, you should change the password to something unique for your organization.

d       If you want to use security with GUIguide, check the Use Security checkbox. If you select to use security, all users will need their own unique user name and password to read the content in GUIguide. If you select not to use security, then only individuals who need to access the GUIguide Administrator will need user names and passwords.

e       Press the Submit button.

Reindex GUIguide Database.
GUIguide uses verity collections to make the search function quicker. Please select the Utilities menu from the Administrator desktop and press Reindex GUIguide Database to create those collections. This process may take a few minutes to complete.

Set up user Ids and roles.
If you selected the Use Security option in Step 1, you need to set up a user name for every user of GUIguide. If you did not select the Use Security option, you just need to set up users who need access to the GUIguide Administrator, including those who will fill roles in the workflow process.

a       On the GUIguide Administrator home page, press the User Setup link.

b       Press the New link.

c       Enter the required user information, including name, login (user name), password, level, email, and role. The levels are explained below.

         No Admin Access – provides access only to the GUIguide content, not the GUIguide Administrator. Use this option for readers of GUIguide.

         Read-Only Admin Access – provides access to the GUIguide content and read-only access to the GUIguide Administrator.

         Full Admin Access – provides complete access to the GUIguide content and the GUIguide Administrator. There must be at least one user with this level of security, who acts as the system administrator as explained in Step 1.

d       Enter any non-required user information, including company, department, and telephone number.

e       Select the user’s role from the Role drop-down list. If you decide not to set up an optional role, the content is passed to the next role in the workflow process. For more information on roles, inboxes, and the workflow process, see the GUIguide Administrator help.

         Reader (default) – allows the user to read the GUIguide content only. Use this role for normal users if you selected the Use Security option in Step 1. This role is not part of the workflow process.

         Author (required role) – changes existing or creates new content items.

         Domain Manager (optional role) – reviews the content items entered by authors for a specific domain.

         Editor (optional role) – edits the wording of the content items and makes sure that they are categorized correctly.

         Content Manager (required role) – approves and publishes content on your Intranet and/or publicly and retrieves new content from Classic System Solutions.

f        Press the Submit button.



Known Issues

  • Currently GUIguide has been tested to work with v4.x - v6.x browsers from Netscape and Microsoft.
  • The administrative tools are more complex and work best if Javascript and Java are enabled on a v4.x or higher  browser.
  • The first time search is invoked, there will be significant delay (up to one minute) as the product will need to build search indexes automatically prior to executing. Do not press back or cancel while this process is running.

New Features in GUIguide Version 4.0

Web Services · Enterprise Filters and Grouping · Greater Customization

This release allows for higher levels of interaction between your usability teams and development teams. The changes make GUIguide even more useful in promoting usability within your organization. A summary of the enhancements includes:

Improved resource repository storage. You can now store complex resources like graphics libraries and sample code by specifying a specific target location on a server and associating it with an example (in Resources). This will allow you to directly link to and store complex code templates with multiple sub-directories outside of the GUIguide database yet link to it from a solution, case study or guideline.

We have added two new fields to better prioritize guidelines: Strength of evidence and Priority

Enterprise filtering by Group and Content Type.

Groups: You can set up groups within your Organization such as "e-commerce" and "Intranet" and provide specific design content for each group. This way, each group can have a customized view of the content most applicable to their team while still keeping your design assets in a central repository.

Content Type: Now any piece of content can be associated with one or more platforms. This allows you to avoid duplication of content (for instance between Java and Window) and allows you to easily add new content types.

Users can set up view preferences and all content will be filtered by group and platform. In addition, you can set up a team with a user login, provide them default preferences and they can now login to GUIguide from an intranet page and only see content customized for their team. These view preferences also apply to the content administration console within GUIguide. Using this powerful new set of features, you can set up different team members to review content and each can have a content in the administrative inbox filtered by the preferences.

GUIguide is now a Web Service.

We've made all content in GUIguide available as a web service. This content can now be easily accessed from a page on your intranet or from development tools as we build in the hooks. Our first integration is with a wireframe and specification product we're offering called Ubiquity-GUIguide edition. When users design wireframes, they will immediately be connected with specific design guidelines, checklists and solutions tied to your corporate GUIguide usability portal. Bulk Updates

With all the new flexibility to add platforms and content types, we've added a powerful new feature to apply mass updates to your content. You can select any content type and apply mass changes to specific platforms, groups or status of the content selected.

Solutions: Improved layout and organization tools

We've improved the layout of solutions to show summaries at the top of the page and allow the user to easily switch between thumbnails. If you associated sample code with a solution example, a link will appear and provide 'one-click' access to the source code. We've also provided the ability to arrange solution content via the 'Organize' feature while editing a solution.

Checklists: Improved layout

Checklists now have the guideline name rather than number associated with the checklist item. This makes reviewing the checklist easier and more usable.

Links: Automated links summaries for external knowledge

Bring the best of usability to your GUIguide portal. A section in resources allows you add any usabilty links (internal and external). Automatic summaries by source and author are provided. You can then access this organization from an external page on your intranet usability site. We repurpose the link content in GUIguide out to our public site. (see example)

Ratings:

Now users can provide ratings to your content and close the feedback loop. Your content team will get an email notification and you will be able to view and manage feedback from your users. This is an optional feature you can turn on/off in the administrator console.

We truly believe these new improvements will significantly broaden the number of users making use of GUIguide and your organization's design knowledge. Ultimately, this will improve the process of solving design issues and creating highly usable software.
